Human Capital Benefits – Privacy Policy

At Human Capital Benefits Inc. (Human Capital Benefits), Chris Pryce, CEBS (Founder and President) is responsible for maintaining and protecting all client information under the control of the agency.  Client information is collected for the purposes of:

  1. Reviewing employee benefit plan needs and providing client advice
  2. Assisting with applications and submissions for group benefits
  3. Assisting clients with ongoing service and communications with insurers/providers
  4. Assisting with claims support
  5. Litigation support

This information may be shared with GroupQuest Benefits Resources Inc. or Group Force Benefit inc., our contracted group benefits managing general agents (MGA), to provide sales and service assistance for your benefit plan, for the purposes outlined above.

The knowledge and consent of each client is required for the collection, use and disclosure of client information, except where required or permitted by law. The client information collected must be limited to those details necessary for the purposes identified by Human Capital Benefits.

Client information may only be used or disclosed for the purpose for which it was collected, unless the client has otherwise consented, or when it is required or permitted by law.  Client information may only be retained for the period of time required to fulfill the purpose for which it was collected in the case of prospective clients.  Where Human Capital Benefits has an ongoing client/advisor relationship, client data (including census data that has been password protected) may be retained on enterprise grade platforms, such as Microsoft Sharepoint) for a protracted period, to facilitate historical versus current comparisons of data trends and manual rate calculations.

As noted above, client information can be maintained in an accurate, complete, and up-to-date form as is necessary to fulfill the purposes for which it is to be used.  Security safeguards that are appropriate to the sensitivity level of the information will be used to protect this information.

Upon request, a client shall be informed of the existence, use and disclosure of their information and shall be given access to it. Customers or prospective customers may verify the accuracy and completeness of their information, and may request that it be amended, if appropriate, at anytime.

Data Collection – Specific to Prospecting

To provide an accurate employee group benefits quotation for your organization, the Insurance marketplace requires information on employees that is private and confidential. This includes their salaries, age, marital/dependent status, job description and length of service with your organization. The information is used to identify risk factors for each employee.

The insurance company will set a rate for each employee (based on age, gender, job etc.) from which a composite rate is calculated. This composite rate is the rate your organization would pay for the insurance coverage. The information is used for no other purpose.

Some employers feel reluctant to divulge such information, even as privacy legislation (Bill C-6, the Personal Information Protection and Electronic Documents Act) regulates how such information can be used or disseminated for commercial purposes.

Please note that when completing employee data for our review, we do not require that you identify the employee by name, but rather by an initial or number (AB, #1, scrambled cert (453), etc.). This will allow us to provide you with an accurate quotation, without identifying specific individuals from your organization.
